Description
PURPOSE: To provide business and administrative support to the Baltimore Area Administrator.
This position consistently supports compliance and the Principles of Responsibility (Kaiser Permanente's Code of Conduct) by maintaining the privacy and confidentiality of information, protecting the assets of the organization, acting with ethics and integrity, reporting non-compliance, and adhering to the applicable federal, state and local laws and regulations, accreditation and licenser requirements (if applicable), and Kaiser Permanente's policies and procedures. In addition, Regional leaders are accountable for communication, implementation, enforcement, monitoring and oversight of compliance policies and practices in their departments.
In addition to defined technical requirements, accountable for consistently demonstrating service behaviors and principles defined by the Kaiser Permanente Service Quality Credo, the KP Mission as well as specific departmental/organizational initiatives. Also accountable for consistently demonstrating the knowledge, skills, abilities, and behaviors necessary to provide superior and culturally sensitive service to each other, to our members, and to purchasers, contracted providers and vendors.
Accountabilities
1. Provides support to the Baltimore Area Administrator maintaining confidentiality of written and spoken information.
2. Creates business cases to support the Baltimore Service strategy, goals, and vision.
3. Monitors and compiles service area variance reports for capital, payroll, and non payroll budgets.
4. Produces power point presentations, agendas, meeting minutes, and data spread sheets.
5. Manages the Baltimore AA's work schedule applying judgment skills to triage for appropriate time frames when committing the meeting to the AA's calendar. Functions as the initial contact for internal and external customers contacting the Baltimore AA.
6. Schedules and coordinates meetings using lotus notes tools, managing the IT, phone support, and preparation of appropriate supporting documentation.
7. Assists in the pre sign off management of the KRONOS time sheets of the Baltimore AA direct reports and maintains the KRONOS exceptions sheets for 5 year time period.
8. Arranges business travel and hotel accommodations. Prepares expense summary monthly for signature.
9. Prepares P card statement for signature recharging expenses to the appropriate cost centers.
10. Manages and sorts incoming and outgoing mail, preparing documents for signature.
11. Completes special projects and other duties as assigned by the Baltimore Area Administrator.
12. Works as a team member in partnership with the Senior Executive Assistant II and MAPMG physicians in the Baltimore Service Area Suite.
Education. Skills. Knowledge and Experience -
. Bachelor's Degree in business administration, health care administration/related field or relevant experience required.
. Proficiency in Microsoft Word, Excel, PowerPoint required.
. Discretion in handling sensitive and confidential materials required.
License/Certification-

Relevant Years of Experience:
. One year of relevant financial management and administrative support experience preferred.
